At Workable, we thrive, when you thrive. The outbreak of Covid-19 hasn’t changed that - even though our way to work, live and travel has temporarily altered.    

During the past few months, the Workable team have been working hard to ensure our co-working space follows all government guidelines surrounding Covid-19.   

With our combined efforts, commitment and optimism, we now move forward together.  

We take pride in our consistent commitment and best practices used in the workspace, and we believe that our new safety strategies will enhance the environment of innovation, social interaction and wellbeing that define our community.  

We have developed these protocols to ensure our co-working areas are healthy, safe and productive.  This document details the ‘new normal’ of working life. It offers guidance surrounding the measures we have implemented, as well as showing how we can work together to adapt and thrive during these challenging times.   

Distancing, cleaning and hygiene are the three pillars of this evolution. 

 

Hand sanitizer stations have been installed everywhere, because having clean hands is one of the most effective measures against Covid-19. 

Face coverings are recommended when entering the building, in all communal and self-service areas.  Masks are effective only when used in combination with frequent hand-cleaning. If you wear a mask, then you must know how to use it and dispose of it properly.


Signage and one-way systems 
have been designed to maintain physical distancing. 

The Workable community team are fully trained and always on hand to welcome you and provide all the assistance and information you may require.

Event bookings

We suggest conducting virtual events where possible. 
Events attendance will be subject to government guidance and capacity.   
Events booking hours will need to be discussed in advance and approved by the Workable Community Team.  

Do not attend Workable if: 
you have any symptoms of coronavirus (a high temperature, a new, continuous cough or a loss or change to your sense of smell or taste)  
you've tested positive for coronavirus  
you live with someone who has symptoms or tested positive 
someone in your support bubble has symptoms or tested positive 
you're told to self-isolate by NHS Test and Trace or the NHS COVID-19 app 
You've arrived in the UK from a country with a high coronavirus risk – refer to the government website here

Cleaning 

The health and safety of our members and staff is our foremost priority.  

Evening and morning clean
A thorough clean and sanitisation of surfaces will be conducted throughout the space every evening and morning 

Staff training -
The community team have received additional training to identify high-touch surface areas such as door handles, control panels, light switches, but also chairs and crockery. These areas/items will be sanitised continuously throughout the day, and at a minimum of every hour. 

Co-working areas
Hot desks, fixed desks and the private office will be cleaned every evening and morning. We ask that Members help with this process by keeping desks and other surfaces as clean as possible. 

Meeting rooms -
Each room will be cleaned after each use and its readiness for the next meeting will be clearly displayed. 

Self-service area
This area will be cleaned hourly and more frequently between 12pm and 2pm. High-touch areas and shared equipment, such as our microwave, will be subjected to enhanced cleaning. Waste bins will be emptied more frequently. A queuing system has been put in place along with signage to ensure that 1metre plus social distancing is followed.

We have installed hand sanitiser dispensers in strategic locations throughout the space. Maintaining high levels of hygiene, including frequent hand washing, is an obligation for all of us and we rely on our customers to play their part. 

Customer journey 

During your time at Workable, we kindly ask that you help us to keep a safe, healthy and productive workspace for everyone to enjoy. 

We have implemented some key changes to our customer journey. 

Members and guests will be asked to respect social distancing, as well as to make use of the hand sanitiser stations available in the reception area. 

The reception team and the Workable Community Team will be on hand to greet members and guests, and to assist should they need further guidance. 

Client Viewing, Guests & Delivery procedure

Client Viewing - We suggest conducting virtual viewings where possible. Physical visits are subject to appointment. Social distancing must be respected, and we recommend no more than one person per slot. Walk-ins are no longer permitted until further notice.  

Guests
We kindly ask that our members pre-register all guests before arrival via email to ensure smooth access to the building.  
Meeting room users must pre-register guests at least 48h prior to the meeting.  
All visitors must scan the NHS QR Code upon arrival and wear a face covering throughout the duration of the viewing. 

Deliveries
these should be limited to a minimum. Members and meeting room hosts will need to notify the community team when the delivery is expected. 

We remind members and users to maintain social distancing when meeting guests, other users and the community team members. 
 

Communal space / self service area procedure  

Communal areas - Face coverings are mandatory in the reception area, lift lobbies, lifts and restrooms. A one-way system is in place and reduced capacity has been applied to the use of lifts and restrooms. Floor signage will be in place to outline the correct pathways and to reinforce social distancing guidelines. 

Self-service area
Operating this high-touch area safely is of utmost importance for us. We have introduced a range of solutions, combined with a rigorous cleaning schedule, to help Workable members and guests to feel comfortable and safe when using it.  

The number of mugs, glasses and teaspoons available have been reduced or removed from the self-service area, but they will be available on request. We also encourage guests to reuse the same mug/glass throughout the day, to minimise contact. 
Lunch boxes can be stored neatly in the refrigerator. 
Cutlery will be available on request, but we strongly advise guests to bring their own to minimize contact.  
The area will be cleaned after each use. High-touch surfaces and items, such as refrigerator handles, microwave, and zip tap will be cleaned every morning and evening by our cleaner, and frequently sanitised by the community team during the day.   

Sanitising your hands before using the facilities in the self-service area is strongly advised. 

Hand sanitiser and antibacterial wipes will be available at the self-service area to allow members to clean the above-mentioned items before and after each use.  
The use of face coverings is at your discretion whilst working at your desk, but we recommend their use in the communal areas. 

Maintaining high levels of hygiene, including frequent hand washing, is an obligation for all of us and we rely on our customers to play their part. 
 

Hot desks, fixed desks, private office & Me space 

Day and Flexi Passes - Limited number of passes will be released on the website in compliance with our reduced capacity.  Users will need to book their access in advance via email and they will be assigned a specific desk accordingly.  Walk-in guests will not be allowed.  

Hot desk
- Members will be allocated a specific desk for exclusive use and memberships will be subject to availability. Guests will only be allowed upon pre-registration. 

Fixed desk - Members will be allocated a specific desk for exclusive use and memberships will be subject to availability. Guests will only be allowed upon pre-registration.
 
Private office - Social distancing and reduced capacity have already been implemented to the office. If you wish to implement your own desk spacing and social distancing protocols, we can assist you in doing so. 

Me spaces - will remain closed to ensure everyone’s safety. 

Hot desks, fixed desks and the private office will be cleaned each morning and evening.  
 

Meeting Rooms and Events procedure 

Our meeting rooms will now be available to book from Monday to Friday, between the hours of 08.00 – 18.00. Should you wish to book something outside of these times, you will need to speak with the Workable community team directly. 

Booking procedure - Bookings must be made over email at [email protected] A 30-minute window will automatically be blocked out after each meeting for cleaning and air quality purposes. 
 
Bringing your own stationary is recommended as well as the use of Tea ms, Zoom, and Google Meet technology in order to minimise the spread of any germs. 

Room capacity - Room capacity has been reduced following the current government guidance, and the additional seating will be removed to allow social distancing. We advise against sitting directly opposite one another.  

Catering - Catering options have been reviewed and are in line with safety procedures 

Guests - Guests are welcome and our staff will be on hand to greet them, but we kindly ask that you notify them via email 48hours before the meeting and share our procedure with them. All guests must scan the Workable NHS QR Code upon arrival.  

Events - We suggest conducting virtual events where possible. Events attendance will be subject to government guidance and capacity.   Events booking hours will need to be discussed in advance and approved by the Workable Community Team.
